  • Application information and monologue submissions

  • School or youth theatre affiliation (if applicable)

b) Parents/Guardians

  • Full name
  • Email address
  • Phone number
  • Relationship to the participant

c) Teachers / Group Leaders

  • Full name
  • Email address
  • Name of school or organisation
  • Professional contact details

3. How We Collect Data

We collect personal data through:

  • Online application forms
  • Email communications
  • Teacher/school submissions on behalf of students
  • Video uploads submitted as part of the application
  • Parental consent forms (where applicable)

4. Lawful Basis for Processing

We process personal data under the lawful basis of consent, as outlined in Article 6(1)(a) of the UK GDPR.

  • Under-13s: Consent must be provided by a parent or legal guardian.
  • Aged 13–17: We recommend that a parent or guardian supports the application.
  • Parents/guardians and teachers: Your data is collected with your consent through the application or consent process.

5. How We Use Your Data

We use your personal data to:

  • Process and manage competition entries
  • Communicate with applicants, parents/guardians, and teachers about the competition
  • Provide customer support
  • Contact participants and teachers with relevant updates or opportunities (if consented to)
  • Ensure safeguarding of under-18s through parent/guardian contact
  • Review and judge monologue submissions, including video content

6. Use of Video Submissions

As part of the application process, participants are required to submit a video performance of their monologue. These videos may contain personal data including names, likenesses, voices, and performance content.We collect and use video submissions for the following purposes:

  • Judging and evaluating competition entries
  • Communicating with entrants regarding their performance
  • Archiving for record-keeping and safeguarding
  • (If consent is provided) – Showcasing winning or selected performances on our website, social media, or other promotional materials

Video submissions are stored securely and accessed only by authorised staff and judges. We retain videos only for as long as necessary to administer the competition and meet legal or safeguarding obligations.

7. Marketing

We may send marketing communications about the competition or similar opportunities only if you have opted in. You may opt out of marketing communications at any time.

8. Who We Share Your Data With

We do not sell or disclose your personal data to third parties, with the exception of the following:

  • Federation of Drama Schools – We may share teacher or group leader contact details for the purpose of recognising and supporting participating schools and educators.


We do not share any participant or parental data with any third party.

9. Data Retention

We retain personal data only as long as necessary for the purposes set out in this policy or to meet legal obligations. Once no longer required, we will securely delete or anonymise your data.

10. Your Data Protection Rights

Under the UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request the deletion of your personal data ("right to be forgotten")
  • Object to or restrict certain types of processing

11. Children’s Data

Where a child under 13 submits an application, we require a parent or guardian to complete the relevant sections of the form and provide their own contact information.

We use appropriate technical and organisational measures to ensure that your data is protected from unauthorised access, alteration, or disclosure.

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective Date" at the top of this page. We encourage you to review the policy regularly.
